Who is responsible for your data?
If you are a business owner, if you write to us using the contact form or if you visit the website, the controller is [NOM PRÉNOM ou NOM DE LA SOCIÉTÉ], [adresse complète], Belgique, [contact@votre-domaine.be] (hereinafter “Fidelbee”).
If you are a customer of a business and have a loyalty card, the controller is the business that offered you the card. Fidelbee acts on its behalf as a processor: we host the card and do not use your data for our own purposes.
What data?
- Business owners: email address, business name, card logo and images, location address, settings, chosen language, billing data (managed by Stripe), and their review of Fidelbee if they leave one.
- Customers of businesses: first name, phone number, birthday (day and month, optional), whether or not they wish to receive offers, card language, number of stamps, visit dates, rewards and coupons used, referred friend or referrer where applicable, and messages received from the business (to measure their effect in the business's statistics).
- Phone location: when a visit is validated, the location is compared with the business's address to check that the customer is on site. It is not stored.
- Apple Wallet and Google Wallet cards: a technical device identifier, needed to update the card and send notifications.
- Contact form: name, email address, message, and an anonymised hash of the IP address to limit abuse.
Why?
- To provide the loyalty card service (performance of the contract with the business owner).
- To let customers find their card again (consent given when signing up for the card).
- To send the business's offers and birthday messages, only if the customer has ticked the corresponding box. This consent can be withdrawn at any time from the card page (“Stop receiving”) or by turning off the card's notifications in Apple Wallet or Google Wallet.
- To reply to messages sent through the contact form (legitimate interest).
- To publish a business owner's review of Fidelbee, only if they have agreed to it (consent).
- To invoice the subscription and meet our accounting obligations (legal obligation).
No data is sold or used for advertising purposes.
How long?
- Card data is kept for as long as the business uses Fidelbee, and deleted no later than 3 months after its subscription ends. A business owner can delete a customer's record at any time.
- Messages sent through the contact form are deleted no later than 12 months after receipt.
- Invoices are kept for 7 years, as required by Belgian law.
Who has access to it?
- The business concerned, and only that business, for its own customers.
- Our technical service providers: Supabase (database, Frankfurt), Vercel (website hosting, processing carried out in Frankfurt), Stripe (payments), Apple and Google (Wallet cards and notifications), OpenStreetMap (business address search).
Some of these providers are based in the United States. Transfers of data outside the European Union are governed by the European Commission's standard contractual clauses or by the EU–US Data Privacy Framework.

The website only uses cookies that are necessary for it to work, which do not require your consent:
- logging in to the dashboard (for the duration of the session);
- remembering your loyalty card on your phone (2 years);
- the language you have chosen for the website (1 year).
No advertising or audience measurement cookies.
Your rights
You can request access to, rectification or erasure of your data, or object to its processing. Customers of a business: please contact the business first, or write to us at [contact@votre-domaine.be] and we will pass on your request. You can also lodge a complaint with the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels (dataprotectionauthority.be).
